Ordering Processes

xAssets' solutions include a full procurement and ordering system which can be configured to match your corporate processes. This includes the ability to request assets, approve requests, order assets, receive assets, and process invoices.

Purchase Orders can be managed within the system, and approvals can be configured to match your corporate processes. This can include conditional approvals, and multi level approvals with no limit on the number of levels.

Receiving Processes

Receiving processes can be managed within the system, and can include barcode scanning for asset tags, and the ability to receive assets in bulk or individually. Receiving processes can be configured to match your corporate processes.

Vendor specific receiving processes can be configured, and the system can be configured to match your corporate processes. So for example if you typically receive large quantities of laptops from Dell, we can configure the system to match the barcode labels which Dell places onto each box.

Deployment Processes

Deployment processes can be managed within the system, and can include barcode scanning for asset tags, and the ability to deploy assets in bulk or individually. Deployment processes can be configured to match your corporate processes.

Typically customers choose one of two methods for deployment.

  • Scan the asset tag during deployment, and xAssets us automatically updated
  • Wait until the asset appears in SCCM, Intune or xAssets Discovery, and then mark the asset as "In Service" (equivalent to "deployed")

Email notifications and emails with approval links can be incorporated within the deployment process, and the system can be configured to exactly match your corporate processes.

Obsolescence Processes

Obsolescence processes can be managed within the system. This typically takes the following forms:

  • Identify assets based on discovered attributes such as disk technology, CPU speed, CPU cores, or memory
  • Use integrations such as Dell and Lenovo Warranty Feeds to get notified when warranties are expiring
  • Use the age, output volume, running time, or other asset-based measures to determine if an asset should be disposed
  • Identify assets based on the security risk they present, especially with outdated software versions

Obsolescence decisions can factor in the importance of an assets. For example, and asset which is only relied upon by one user might be treated differently to an asset which is relied upon by many users.

Disposal Processes

Disposal processes can be managed within the system, and can include barcode scanning for asset tags, and the ability to dispose of assets in bulk or individually. Disposal processes can be configured to match your corporate processes.

Email workflows can also be incorporated within the disposal process, such that you may like a user to approve the disposal of an asset for which they are responsible, or you may like to notify a user when an asset has been disposed. This can also be done conditionally, so low value assets might just be disposed, whereas high value assets might require a manager or its user to approve the disposal.
